We are a high-growth business established in America, APAC and Europe with over 20 subsidiaries. As our operations continue to expand and grow in the Middle East region, the regional team is looking to establish a localised regional administrative team to support the organisational PMO and Finance functions.
We are seeking a detail-oriented Administrator to support the PMO and Finance back office functions in the regional hub office in Dubai, UAE. The successful applicant will support the PMO department, coordinating and supporting Sales teams on client projects. Your responsibilities will encompass various aspects of system administration on both the customer and business systems, as well as administration support to the Dubai office. The Finance department duties will include raising purchase orders using construction accounting software (Eque2), supporting the accounts payable and receivable processes, managing payment runs, and dealing with supply chain negotiating preferential credit terms.
Duties & Responsibilities
- Assisting in the day-to-day financial transactions, including accounts payable, accounts receivable, and general ledger entries.
- Assisting in the reparation and maintenance of accurate financial records and reports.
- Assist in the preparation of project budgets and financial forecasts.
- Support the month-end and year-end closing processes.
- Assist with audits and provide necessary documentation and information.
- Collaborate with global Finance teams to align local practices with corporate standards.
- Research, document and share best practices, sharing knowledge with the Global team to support future projects.
- Collaborate with the Sales team to fulfil internal reporting requirements, ensuring accuracy and quality of data, within the dedicated deadlines.
- Support the team on various sales and ESG projects, coordinating documentation for tenders and projects.
- Support management teams with administration tasks as and when required, including organising training, maintaining project records, and timesheet collation. Communicating with project stakeholders to ensure the project needs are met.
- Coordinate system file structures and permissions within SharePoint. Provide support on systems such as Salesforce, Eque2, and SharePoint to navigate management system environments.
- Support the wider regional and global teams with any ad-hoc tasks and administration duties as required. This could include document control tasks using software such as Aconex, managing couriers, scanning, printing and general office management duties.
- Flexibility to attend meetings outside of normal working hours to support global operations.
- Represent the business, upholding our core values and behaviours with all internal and external customers, clients and third parties.
- Maintain business and client confidentiality, adhering to applicable Data Protection regulations and Information Security Standards in line with company and group policies and procedures.
Essential Skills and Experience
- Bachelor’s degree or equivalent in Business Administration, Accounting, Finance, or a related field.
- From a Finance perspective, experience dealing with accounting software and Microsoft Office Suite, particularly Excel and ideally Microsoft Dynamics (Business Central)
- From a PMO perspective, the experience using CRM (Salesforce) or similar operating systems, including Microsoft 365 applications such as Excel, Word and PowerPoint.
- Intermediate understanding of the accounts payable process and basic accounting principles within the UAE.
- Excellent analytical and problem-solving skills.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills, fluent English is required.
- Ability to work independently and as part of a team.
- Experience of working on tenders and project delivery.
- Strong organisational and time management skills.
- A high attention to detail with excellent literacy and numeracy skills.
- Thrive in a busy environment.
- Ability to remain calm and professional under pressure to meet deadlines.
